# Privacy Policy
Effective Date: Sept, 2026
CascadiaMechanic.com (“we,” “us,” or “our”) is a mobile automotive repair service operated by Jonathan Motyl dba Cascadia Mechanic, based in White Salmon, Washington. We provide on-site vehicle maintenance and repair services in the Columbia River Gorge area of Washington and Oregon (including White Salmon, Hood River, Bingen, Lyle, The Dalles, and surrounding communities within a 30–40 mile radius).
This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our website (cascadiamechanic.com), submit a service request or booking form, upload photos, communicate with us, or otherwise interact with our services. We are committed to transparency and protecting your privacy in compliance with applicable federal law (including the Federal Trade Commission Act), Washington state law (including RCW 46.71 for automotive repair recordkeeping), and Oregon law.
Because our business is a small, one-person mobile mechanic operation that does not meet the revenue or data-volume thresholds of the Oregon Consumer Privacy Act (OCPA) or Washington’s My Health My Data Act (we do not collect, process, or sell “consumer health data”), we are not subject to those comprehensive state privacy statutes. However, we voluntarily follow best practices for transparency and consumer trust. This policy is designed to be clear, accurate, and “legally tight” so we honor every promise we make and avoid any deceptive-practice claims under federal or state law.
## 1. Information We Collect
We collect only the information reasonably necessary to provide accurate quotes, schedule mobile service at your driveway or location, perform the work safely and professionally, and comply with Washington automotive repair laws (RCW 46.71).
Information You Provide Directly (via our smart service-request form, booking system, email, phone, or text):
- Contact details: full name, email address, phone number, and service address (including city, state, ZIP).
- Vehicle details: year, make, model, engine/trim (e.g., 5.3L V8 vs. 6.0L V8), drivetrain (2WD/4WD/AWD), and any photos you upload of your vehicle, symptoms, or current mileage/odometer.
- Service request details: selected services from our flat-rate menu (preventive maintenance, brakes, suspension, etc.), problem description, and preferred appointment times.
- Payment-related information (processed securely through Squarespace Payments or your chosen method—we never store full credit-card numbers ourselves).
- Any additional notes or communications you send us.
Automatically Collected Information (via the Squarespace platform and standard website technologies):
- IP address, browser type, device information, operating system, and referring website.
- Cookies and similar technologies (see Section 5 below for details).
- Usage data: pages visited, time spent, and form interactions (for analytics and to improve our site).
We do not collect sensitive personal data such as Social Security numbers, driver’s license numbers (beyond what RCW 46.71 requires on invoices), race, religion, sexual orientation, precise geolocation beyond your service address, or any health data. Vehicle diagnostic photos or details are strictly mechanical/automotive in nature.
## 2. How We Collect Your Information
- Directly from you when you fill out our cascading vehicle-selection form (Year → Make → Model → Engine/Trim → Drivetrain), upload photos, or book through Squarespace Scheduling.
- Automatically through Squarespace’s built-in analytics and cookies when you visit the site.
- During service visits (we may take additional diagnostic photos or notes on-site, which are stored securely with your job record).
## 3. How We Use Your Information
We use your information solely to:
- Provide accurate flat-rate quotes and written estimates (required for jobs >$100 under RCW 46.71).
- Schedule and perform mobile repairs at your location using our 2003 Chevy Tahoe (or future van).
- Communicate confirmations, reminders, invoices, and follow-up (via email, text, or phone).
- Generate and retain invoices/estimates for at least one year as required by RCW 46.71.060.
- Improve our website form workflow and service menu (anonymized analytics only).
- Comply with legal obligations, respond to lawful requests (subpoenas, etc.), or protect our rights.
- Prevent fraud and ensure safe driveway service (e.g., confirming address and vehicle details).
We do not use your data for targeted advertising, profiling, or any purpose unrelated to delivering the requested repair service.
## 4. How We Share Your Information
We share the minimum necessary data and never sell your personal information to third parties for marketing or any other purpose. Sharing occurs only in these limited cases:
- Service Providers: With Squarespace (our website host and scheduling platform), email/SMS notification services, payment processors (Squarespace Payments or Stripe), and any related booking tools. These providers are contractually required to protect your data and use it only on our behalf.
- Legal & Compliance: To comply with RCW 46.71 recordkeeping, respond to law enforcement or regulatory requests, or protect against legal liability.
- Business Transfers: In the unlikely event of a sale or merger of the business (we would notify you and ensure continued protection).
- Professional Advisors: With accountants or attorneys only as needed for business operations (under strict confidentiality).
We do not share data with any Oregon- or Washington-specific data brokers or advertising networks.
## 5. Cookies, Tracking, and Analytics
Our Squarespace-powered site uses essential cookies for form functionality and bookings. We may use Google Analytics or Squarespace Analytics (anonymized) to understand site traffic. You can manage cookies through your browser settings. We do not use cross-site tracking or sell data derived from cookies.
## 6. Data Security
We take reasonable and appropriate technical and organizational measures to protect your information, including:
- Secure Squarespace hosting with SSL encryption.
- Password-protected access to job records.
- Limited internal access.
- Secure deletion or anonymization when data is no longer needed.
No system is 100% secure, but we maintain industry-standard protections for a small mobile mechanic business.
## 7. Your Privacy Rights and Choices
Even though we are not subject to comprehensive state privacy rights statutes, we voluntarily honor the following:
- Access / Correction: You may request a copy of the personal information we hold about you or ask us to correct inaccuracies.
- Deletion: You may request deletion of your data (subject to our RCW 46.71 recordkeeping obligations and any active service needs).
- Opt-Out: You may opt out of non-essential communications at any time by replying “STOP” to texts or using the unsubscribe link in emails.
- Do Not Sell: We do not sell data, so no opt-out is needed.
To exercise any right, email us at the address below. We will respond within 30 days (or sooner).
## 8. Data Retention
We retain your information only as long as necessary:
- Active quotes/bookings: until the job is complete.
- Invoices and estimates: at least 1 year per RCW 46.71.060 (electronic copies are fine).
- Website analytics: indefinitely in anonymized form.
After retention periods, we securely delete or anonymize the data.
## 9. Children’s Privacy
Our website and services are not directed to children under 13. We do not knowingly collect data from children. If we become aware of such data, we will delete it.
## 10. Changes to This Privacy Policy
We may update this policy from time to time. The new effective date will be posted at the top. Material changes will be notified via the website or direct communication if we have your contact information. Continued use of our site or services after changes constitutes acceptance.
